How Do I Plan a Long-Distance Move After Selling My Orange County Home?

Title card for the article: How Do I Plan a Long-Distance Move After Selling My Orange County Home?

The short answer

How do you plan a long-distance move after selling your Orange County home? Start with a written timeline that ties your closing date to your move-out date, then sort belongings early, get in-home estimates from several licensed interstate movers, and choose your moving protection carefully. Check every mover's USDOT number, never sign blank paperwork, and set up mail forwarding. Before closing, ask your escrow officer about California real estate withholding, and talk with a CPA about taxes on the sale.

Where Do I Start?

A long-distance move has two big projects running at once: selling your home here and setting up life somewhere new. The key is lining them up so neither one rushes the other.

I'm Jeanette Nelson, a REALTOR® with Jeanette Nelson Real Estate, Keller Williams Realty, serving Orange County, Huntington Beach, Costa Mesa, Fountain Valley, and surrounding areas. When a family is moving away, I help build a written plan and timeline so the sale, the packing and the move each have their own steps.

How Do I Time the Sale and the Move?

Your closing date sets the pace. A few questions help:

  1. Where will you live after closing? If your next home is not ready, you may need short-term housing or a rent-back, if the buyer agrees.
  2. When does the mover need to pick up? Interstate movers often schedule pickup and delivery windows, not single days.
  3. Will you sort before or after listing? Clearing out early can make showings easier and lowers moving weight.
  4. Who needs to be there? Plan for the walk-through, the pickup and the final key handoff.

If you are moving to be closer to your family, include them in the plan early.

How Do I Choose an Interstate Mover?

The Federal Motor Carrier Safety Administration (FMCSA) regulates interstate movers. Its guidance includes:

  • Check the USDOT number. FMCSA requires interstate movers to have one. Look the company up in FMCSA's mover search tool, which shows registration and complaint history.
  • Match the truck. FMCSA advises that the mover's name and USDOT number should be identical to what is on the trucks that arrive.
  • Get several written estimates based on an inspection of your belongings.
  • Read the FMCSA booklet. Movers must give you "Your Rights and Responsibilities When You Move."
  • Never sign blank or incomplete documents.

What Is the Difference Between Binding and Non-Binding Estimates?

FMCSA explains:

  • Binding estimate. You do not have to pay more than the estimated amount at delivery. If you add items or services, the mover must prepare a new binding estimate.
  • Non-binding estimate. The mover's best guess based on estimated weight. Final charges are based on actual weight. At delivery, the mover cannot require you to pay more than 110% of the non-binding estimate. Remaining charges can be billed later.

Ask each mover which type they are offering, in writing.

How Are My Belongings Protected?

FMCSA describes two levels of mover liability:

  • Full Value Protection. The mover is responsible for the replacement value of lost or damaged goods. It costs more, and FMCSA says your shipment moves under this option if you do not choose Released Value.
  • Released Value Protection. No extra charge, yet the mover's liability is limited to 60 cents per pound per article. FMCSA's example: a 10-pound item worth $1,000 would pay only $6.

Keep jewelry, important papers and irreplaceable items with you.

What Paperwork Should I Handle Before I Go?

  • Mail forwarding. USPS standard forwarding lasts 12 months. USPS says changes can take 7 to 10 business days to take effect, so submit early.
  • California real estate withholding. The California Franchise Tax Board generally requires withholding of 3 1/3% of the sales price, or an alternative calculation on the gain, unless the seller certifies an exemption on Form 593. One exemption applies when the home was your principal residence under the FTB's rules. Your escrow officer will handle the form.
  • Federal tax on the gain. The IRS lets you exclude up to $250,000 of gain, or $500,000 if married filing jointly, if you meet the ownership and use tests.

Withholding is not the same as the tax you owe. Talk with a CPA before you sell. This is general information, not tax advice.

How Do I Protect the Sale Proceeds?

Your proceeds may be wired to you or to your next escrow. Confirm wiring instructions by phone with a number you already know. My article on protecting your money from wire fraud explains the steps.

Frequently asked questions

How do I check if an interstate mover is legitimate?

FMCSA requires interstate movers to have a USDOT number. Look it up in FMCSA's mover search tool, and make sure the name and number match the trucks that arrive.

What is the 110% rule for movers?

Under a non-binding estimate, FMCSA says the mover cannot require you to pay more than 110% of the estimate at delivery. Remaining charges can be billed later.

Will California withhold tax when I sell and move out of state?

The FTB generally requires withholding of 3 1/3% of the sales price unless you certify an exemption on Form 593, such as the principal residence exemption. Your escrow officer will handle the form.

How long does USPS forward my mail?

USPS standard mail forwarding lasts 12 months. Submit your change of address early, since it can take 7 to 10 business days to start.
